From Excel to KerkPoint

Moving on from the church schedule in Excel

A spreadsheet gives you an overview, but it sends no reminders, keeps no track of availability and goes out of date the moment you send it on. This is what it looks like when you switch.

  1. 1 Fill the open place
  2. 2 The volunteer accepts

Example of a sexton schedule: who is scheduled on which Sunday, who still has to respond and which place is still open.

Where the Excel church schedule gets stuck

  • Versions: as soon as you e-mail the file, there are several versions. Nobody knows for sure which is the latest.
  • No reminders: Excel warns nobody. Forgotten services are sorted out afterwards.
  • No availability: who cannot serve when is kept somewhere else. Double bookings creep in easily.
  • Poor on mobile: reading a spreadsheet on your phone over coffee is no fun.
  • Error-prone: one shifted row or overwritten cell and it is no longer right, without you noticing.
  • One administrator: if that person drops out, the schedule stops.

What stays, and what you gain

You keep the overview you had in Excel. What you gain: the schedule is always the current version, volunteers are told automatically and get a reminder, they pass on their availability themselves, and everyone puts their own planning in their calendar app. Several people can manage it.

Switching with an import

You do not start from scratch. From the Plus plan you import your volunteer list from Excel or Google Sheets (saved as CSV) and everyone gets an invitation straight away. You bring your current schedule along too: one row per service, one column per task. You see a preview first and then import with one click. After that you set up your recurring services and generate the schedule for the coming weeks. Most churches have switched over completely within a few days.

What it costs compared with "free"

Excel costs no subscription, but it does cost hours of sending round, correcting and chasing. KerkPoint takes that over for a fixed amount per month, and you start with one month free. See the prices.

Availability without phone calls

Volunteers mark their holidays and other days off themselves. Nobody is scheduled on a day they cannot serve.

Frequently asked questions

Yes. From the Plus plan you import your volunteer list and your existing schedule (services and who is scheduled) from Excel or Google Sheets, saved as CSV. You see a preview first and then import with one click. So you do not start from scratch.

No. KerkPoint works in the browser on phone, tablet and computer. Volunteers log in or open a link; if they like, they can add the site to their home screen as an app.

You can export your services, collections and users, so your data always stays yours. You are not tied to anything and can cancel monthly.

Every church has its own, shielded environment. Data is stored securely and is only accessible to authorised users, in line with the GDPR.

Excel costs no subscription, but it does cost time: sending files round, keeping track of versions, chasing people, fixing mistakes. KerkPoint takes that work over with reminders, an always up-to-date schedule and calendar links, for a fixed amount per month.
