Free church schedule template 2027

A ready-made schedule for sexton, organist, projection, nursery and offering, with every Sunday and holiday in it. Free to download, without an e-mail address.

Download the template

Working with Google Sheets? Open the Excel file in Google Drive, or choose File, Import in Google Sheets. The drop-down lists and colours keep working.

What is in it?

  • Schedule: every Sunday and holiday of 2027, with a column per task: sexton, organist, projection, nursery and offering.
  • Names: per task the people who take part. In the schedule you pick them from a drop-down list, so no typos.
  • Availability: who cannot serve when. If someone is scheduled anyway, the cell turns orange.
  • Overview: how often everyone is scheduled per task. Anyone clearly above average turns red.
  • Double tasks: if someone has two tasks on the same day, the cell turns red.
  • Printable: the PDF has half a year per page, to put up or hand out.

How to use the template

  1. On the Names tab, enter the people who take part per task, and remove the example names.
  2. On the Schedule tab, pick a name from the drop-down list for each service.
  3. Let people tell you when they cannot serve, and put that on the Availability tab.
  4. Check on the Overview tab whether the work is shared fairly, and move people where needed.
  5. Share the schedule: as a PDF, printed or as a shared file.

Is a task called something else in your church, or do you have an extra one, such as coffee or welcome? Change the heading on both the Names and Schedule tabs.

What a spreadsheet cannot do

A template is a fine start. Still, every spreadsheet schedule runs into the same limits sooner or later, and we say so honestly in the template itself, on the Tips and limits tab:

  • A spreadsheet sends nobody a reminder.
  • Swaps happen through messages, and afterwards someone has to update the file.
  • Whoever e-mails the file round immediately has several versions.
  • Volunteers cannot put their turns in their own calendar.
